How can I sign PDF documents electronically in Revu?
Keeping stacks of paper in file cabinets or signed paper documents in folders is a thing of the past. These days, professionals are moving toward a paperless process for signing, storing and archiving business documents. Of course, there are always exceptions, but for the most part, you can do away with the paper and make the most of the PDF technology you may already have installed on your machine. Depending on the importance of the document and level of security needed, you can choose between two methods for signing documents electronically.
PDF Digital Signatures
The PDF standard includes the ability to secure final copies of PDF documents with digital signatures. The digital signature validates the information in the PDF, enables recipients to verify your identity and indicates if the document has been altered after it was signed. This method of signing documents is the most secure and advanced and should be used for documents that require a high level of security.
PDF Stamping and Flattening
For everyday documents such as basic forms and agreements, the stamp and flatten method is a better option. Stamping and flattening will adequately secure your signature and it is very simple to do with Bluebeam PDF Revu. You can even customize your signature stamp to include the date, time, seal, logo or anything else you prefer.
The first step is to capture your signature as an image (Jpeg, gif, etc.) so you can apply it to a PDF using the Insert Image tool in Revu. Some of our customers have signed a piece of paper and then scanned it to create an image file. If you have a tablet or tablet PC it’s even easier. You can open a blank PDF in Revu and sign directly onto a PDF file with the pen tool.
Once you have the signature on the PDF, you can add a date or time stamp with the Stamp tool or you can add another image file such as a seal or company logo. Then, multi-select all the markups and right click to group them together. Now you have created your stamp. You can save the stamp in the Tool Chest by right clicking on the stamp and selecting Add To Tool Chest. Once you save it in the Tool Chest, your signature stamp will be available every time you open Revu.
The last step to secure the signature is to flatten the PDF file. Flattening means that the markup (in this case the signature stamp) becomes part of the PDF file rather than floating on top of the PDF. This is important because flattening ensures your signature won’t be inadvertently moved or deleted. It also ensures that if the document is printed, your signature will be printed as well. To flatten the PDF, click the Flatten button in the toolbar or under the Document menu select Flatten Markups.
