What are some common everyday uses of Bluebeam that reduce paper usage in my office?



This month’s Ask Greg topic strays from the technical questions I typically answer, but hopefully you will find it useful nonetheless. I polled Bluebeam employees to find out all the cool ways they use Bluebeam in their everyday lives. Here is what they said:


Order Forms
A significant portion of my day involves reviewing and completing contracts, order forms or other documents. Most documents are emailed to me but some are faxed. Bluebeam’s faxes are received electronically and emailed to team members rather than printed out on paper. Therefore, I am able to fill out or make changes to documents electronically in Revu using the typewriter and other markup tools. I also have my signature saved in My Tools, so I can sign documents electronically, flatten the PDF to secure my signature and email it to the recipient. This process not only saves paper, but also a lot of trips to the fax machine.

Online purchases
When making online purchases, the order confirmation is usually emailed to me within a few minutes. However, when I am ordering from a new site, I like to keep a record of my order number and confirmation page until I receive that email. Instead of printing the confirmation page, I make a PDF with Bluebeam and save it in a “Receipts” folder on my hard drive. This way, I have a record of my purchase in case the email never arrives, which happens from time to time.

Hotel Reservations
There have been times that I’ve arrived at a hotel and for some reason my name was not found in the reservation system. In order to check in, the clerk asks for the reservation number. Well, if you are like me, you don’t like to travel with a bunch of reservations printed out on paper, I always seem to lose them. Since I always have my iPhone with me, I save my reservation as a PDF on my phone so I can access it at the lobby desk. This way, I’m not carrying around extra paper with me and I’m not printing out a page that I may not have to use.

Google Maps
I always use Google to get directions, but sometimes I need to add more information to the map provided, such as the location of a building or a nearby parking garage. I print the map to the Bluebeam PDF printer to create a PDF. Then in Revu, I use the arrows, shapes and other markup tools to add the information I need. Then I email the PDF to myself so I can access it from my phone while on the road.
